Key takeaways
- A simple electronic signature, such as an image of your signature on a PDF, is legally recognised for many everyday documents.
- Advanced and qualified signatures use certificates to prove who signed and that the document was not changed.
- The UAE (Federal Decree-Law No. 46 of 2021), the EU (eIDAS) and the US (ESIGN Act) all recognise electronic signatures, with exceptions.
- Some documents, such as certain property, family-law and notarised documents, still need special formalities.

General information, not legal advice. Requirements depend on the document, the country and the parties. When in doubt, ask the person requesting the signature, or a lawyer.
Three levels of electronic signature
| Type | What it is | Typical use |
|---|---|---|
| Simple | Any electronic indication of agreement: a typed name, a scanned or drawn signature on a PDF, ticking "I agree". | Forms, consent letters, internal approvals, many commercial agreements |
| Advanced | Uniquely linked to the signer, created with data under their control, and any later change to the document is detectable. | Higher-value contracts, HR documents |
| Qualified (EU) / trusted (UAE) | An advanced signature based on a certificate from an approved trust service provider, often with identity verification. | Regulated transactions, government processes |
What the law says, in brief
- UAE: Federal Decree-Law No. 46 of 2021 on Electronic Transactions and Trust Services gives electronic signatures legal effect and sets out trusted and approved signatures, with exceptions such as certain personal-status, real-estate and notarised matters.
- EU: the eIDAS Regulation says an electronic signature cannot be denied legal effect solely because it is electronic. A qualified signature has the same effect as a handwritten one across member states.
- US: the ESIGN Act (2000) and state UETA laws give electronic signatures and records the same validity as paper, with listed exceptions such as wills.
When a signed PDF is usually fine
Tenancy applications, school forms, supplier onboarding documents, quotes, purchase orders and many service agreements are commonly signed with simple electronic signatures. The recipient's acceptance matters most, so ask if you are unsure.
How to sign a PDF safely
- Open the document in Sign PDF. It runs in your browser, so the contract is not uploaded.
- Draw your signature with a mouse, finger or stylus, or type your name.
- Click where the signature goes (usually the last page), add more signatures if needed, and save.
- Keep a copy of exactly what you signed, and send it from an email address the recipient recognises.
For documents that require an advanced or qualified signature, use a certified signing service. In the UAE, government-recognised options include signing through UAE Pass.
